Terms and conditions of booking (the agreement)
The Little Canopy Co. has prepared these terms and conditions for the benefit of both parties. Upon confirmation of a booking (in accordance with clause 1 below), The Little Canopy Co. will issue these terms and conditions to the client.
1 Confirmation of Booking
1.1 All bookings take effect upon acceptance and payment of both initial booking deposit and of these completed Terms and conditions by both The Little Canopy Co. and the client.
2 Payment
2.1 A non-refundable deposit of 50% of the total cost of package (as identified in The Little Canopy Co. quote) is payable by the client upon the confirmation of the booking/acceptance of terms and conditions.
2.2 The Client will pay the remaining 50% of the total cost of package, no later than, 4 weeks before the booking date.
2.3 Payments can be made by BACS transfer or cash (details for payment are set out in the Invoice).
2.4 Late payments (for extended hours set out in point 5) made after the event date up to 2 weeks may incur a £60 admin fee. After this time, there will be an additional 10% of balance due as late payment fee.
3 Cancellation
3.1 Cancellation by the Client - The Client shall have the right to terminate this Contract up to 4 weeks before the event, provided that the Client informs The Little Canopy Co. At the earliest convenience on becoming aware of the need to cancel. The non refundable 50% deposit paid will not be refunded.
3.2 The Little Canopy Co. reserves the right to cancel any booking within 3 months of the deposit date. The Little Canopy co. agrees to refund the client the Deposit plus any other fees already paid in advance.
4 No liability for death or injury
4.1 The Canopy Co. takes no responsibility for death or personal injury during the event.
5 Extended Hours
5.1 If the event schedule is changed on the event date, The Little Canopy Co. will endeavour to accommodate any requests for extended hours of services.
5.2 If the event schedule is changed on the event date and The Little Canopy Co. agrees to provide extended Hours, The Little Canopy Co. shall charge an extended service fee £90 per hour for Bell tent and activity hire and £30 per hour/per staff member. Payment for the extended hours plus the service fee shall be made within 14 days of the event date.
5.3 The Little Canopy Co. has the right to refuse any request for extended hours beyond the agreed/contracted event hours if not possible to fulfil.
6 Staff
6.1 All staff are to be given access to mineral water and soft drinks and access to toilet facilities.
6.2 All staff working 5 hours or more are entitled to a 20 minute break which will be managed within the team by the team leader on the day.
6.3 Where staff are booked late/ unsociable hours away from home, accommodation may need to be provided/ travel costs covered by the client. This will be agreed prior to the event and costs covered by the client.
6.4 The Little Canopy Co. and its dedicated team are committed to providing a professional and respectful working environment to all parties involved. Any form of aggressive, abusive or negative behaviour directed to The Little Canopy Co. team will not be tolerated, in this event we reserve the right to immediately terminate the agreement, cease all work, and remove any personnel from the premises without compensation or refund.
7 Children
7.1 The Little Canopy Co. accepts no responsibility for children attending the event outside of agreed hours.
7.2 The Little Canopy Co. accepts no responsibility for children attending the event who have not been booked in previously/ agreed to be part
of the event due to staff ratios.
7.3 The Little Canopy Co. reserves the right to return any child acting in an unruly fashion to the parent or carer at the event.
7.4 Any allergies, medical conditions or specific requirements of children attending the Event must be known in writing to The Little Canopy Co. in advance of the event.
7.5 Additional needs and staff ratios. To ensure the safety and well-being of all children within our care, any additional needs, such as, medical, behavioural, developmental or physical conditions that may require increased supervision or child-to-staff ratio must be disclosed at the time of booking so that The little canopy co. are able to make staffing adjustments. Failure to provide this information may result in non acceptance of a child/ren.
8 Equipment/ Access
8.1 The client is to arrange a safe supply of mains electricity for The Little Canopy Co. during the event hours.
8.2 Where any of The Little Canopy Co. equipment is damaged during the event and such damage is of an amount that exceeds £50, this damage shall be reimbursed at cost price by the client to The Little Canopy Co. within 14 days of the event.
8.3 The Client is required to provide sufficient space and access for The Little Canopy Co. team to set up upon arrival; we may not have time to help move furniture and clear spaces so please ensure this is done prior to our arrival.
9. Weather
The Little Canopy Co. will provide bell tents of high quality, heavy durability and water and fire resistant to assure that they can be utilised in most weather conditions.
However, the company reserves the right to cancel, delay delivery or installation if, in it's sole discretion, it deems the weather conditions to be unsafe. This includes, but is not limited to, strong winds or flooding at the event location or en route as the safety of all staff and children will remain paramount.
In the unlikely event of adverse weather we will endeavour to set up equipment safe and suitable area if achievable.

11 General
This Agreement shall be governed by and construed in accordance with English law. Any claims or disputes arising out of or in connection with it shall be subject to the jurisdiction of the English Courts.
